It's Friday, Delete Something!
In the digital age, our ability to create, manage, and share information at lightning speed is truly remarkable. However, a growing concern threatens to clog our workflows and stifle our operational efficiency: the unchecked proliferation of documents.
Document and records management, once a beacon of order and clarity, now stands on the brink of being overwhelmed. Redundant documents, created and forgotten, clutter our digital spaces. Akin to our personal smartphone habits, we're becoming digital hoarders, seldom deleting even bad pictures. Similarly, the decreasing cost of digital storage lulls us into a false sense of complacency, leading us to accumulate unnecessary documents.
The implications? Our transition to cloud-based intranets becomes more costly and complex. The growing digital detritus impacts our bottom line and operational efficiency.
But there's a solution. Consider introducing a “Digital Detox Day” or a “ClearSpace Hour”, a time when everyone, from interns to executives, dedicates themselves to a digital clean-up. Even the simple act of each employee deleting a handful of obsolete files can have a colossal cumulative effect.
But let's take it a step further. As we purge unnecessary documents, let's also reorganize our digital assets. Transfer company documents from ungoverned storage locations like personal desktops, Dropbox, or OneDrive back to your organization's designated SharePoint libraries. This centralization not only reduces risk but also boosts productivity by making vital documents easily accessible to those who need them.
Additionally, consider eliminating unused Microsoft Teams and Channels. These unused digital spaces consume resources and add to the clutter. Addressing them periodically can significantly streamline our digital workspace and cut costs.
By taking these steps, we stand to gain as both an organization and as individual users of the intranet. A clutter-free digital space makes it easier to find the information we need, boosting efficiency and reducing frustration. It saves costs and makes our transition to the cloud smoother.
Here's a potential subject line for the email to kick-start this initiative:
"ClearSpace Initiative: Making Digital History, One Deleted File at a Time!"
In conclusion, just as we declutter our homes, our digital environments demand the same attention. Let’s take collective action to ensure our digital landscape remains nimble, streamlined, and most importantly, meaningful.
